4 Steps to File Transfers

There are 4 crucial steps you need to take to ensure accurate, timely results.


Step 1: Organize your files

Before sending us files, please make sure you organize them in the proper printing order. For example, you may want to name them as follows:


01 Section1.doc

02 Section2.doc

03 Section3.doc

04 Section4.doc


By pre-organizing your files before they are transferred to us, the amount of time spent sifting through them is lessened. This can result in substantial savings and a quicker turnaround time.


Programs in which EPS can be used are: Adobe InDesign, Adobe Illustrator, Adobe Photoshop and QuarkXPress.



Step 2: Collect your files

Collect all your files in one area. Search through your document for the fonts and images used and supply them as well. If you use Indesign, QuarkXPress, Photoshop, Illustrator or Acrobat, there are built-in features that can help you with this task.



Step 3: Compress your files

Compress all your collected files into one file, so that they can be easily transported. All files should be compressed into ZIP format before sending. Select the group of files and right-click. Mac computer users should then select “Compress”, while PC users should select “Send to”– “Compressed Folder”.



Step 4: Sending files to Central

If your compressed file is less than 5 MB, email it to your Sales Representative or Production Coordinator (PC).


Larger files can be sent through a File Transfer Protocol (FTP) site. If you or your agency has an FTP site, we can pick up the files if you send us the proper address, user name, password and file names.


If you want to upload files to the Central FTP site, make sure to have our instructions emailed to you so you can connect with all the correct settings. We supply our clients with FTP Explorer, but feel free to use any other FTP software.


The final step involves emailing the Production Coordinator (PC) who handles your account. Tell them the names of any files uploaded to our FTP site and any other specifics related to the job. These could include the language, version, purchase order number, and types of files that have been included.
